Audio Visual Instructions for Speakers

A VLAN network will be used for all presentations. This means that all presentations will be PRELOADED
via internet or locally on to the main server in the congress centre.

Detailed help will be available at http://www.m-congress.com for all presentation-related questions, including the upload process.

Carefully read the information to avoid your presentation being incorrectly displayed.

Uploading your presentation

All presentations must be submitted in advance after 14 April 2009 by Internet using Powerpoint
(from version XP up to Office 2003).

If you use Apple Keynote, we can usually successfully transfer your presentation to the network. Alternatively, you may use your own laptop. However, you should go to the Speaker Check-In Room
in advance of your presentation to check your files and the connectors for your computers.

If you use fonts other than standard Windows fonts these must be embedded into the presentation.

The deadline for receipt of CD-ROMs is 27 April 2009

An acknowledgement will be issued on receipt of presentations.

The presentations are automatically saved to avoid any data loss as back-up.
If you wish your presentation to be deleted at the end of the Congress this
must be made clear when registering with the Speaker Check-In Room.


On-Site check-in

All speakers must upload and validate their presentation(s) in the Speaker Check-In Room a minimum of
3 hours before the session starts, or the day before if the session is at 08.00.

Presentations received after this deadline cannot be guaranteed audiovisual support.

You will be brought to a workstation by a computer operator who will open your presentation (for security reasons only computer operators can open the presentation).

You can check the presentation and make changes if necessary. The computer operator will then send it to the server storage to be made available in the theatre.

In the lecture theatres

Each morning the full day’s presentations will be sent to the laptops in the theatres and saved on the hard drive. Presentations cannot be altered or changed in the lecture theatres.

Please note that the only laptops which can be used in the scientific sessions are those provided as part of the system. You cannot plug your own laptop into this system, unless
you use Apple Keynote and have made a prior arrangement at the Speaker Check-In Room. Changes to a presentation can only be made by the designated speaker and only in advance
in the Speaker Check-In Room
.

In the theatres the DVD Rom drive and the USB port on the system laptops will not be accessible.

There will be only one screen in each room, therefore dual projection will not be possible.

Two lecterns will be used in each theatre. This means the first slide for the next presentation can be on screen as the previous presentation ends and minimises delays between speakers.

Courses

The VLAN network will be used in the course rooms. However, speakers may also use their own laptops in these rooms for course presentation
